Frequently Asked Questions (FAQ)

  • If you have had an Incident Qualification Card produced from IQCS you can self register for a responder account to access your record by following the Responder Self Register Guide.  After gaining access to your IQCS responder account, you will be able to access your qualification record.

    Once logged in you will be able to view your agency organizational information, personal information, incident qualifications and supporting competency records (position task books, training, licenses/certifications, experience records, competencies). In addition, you can produce your own Responder Master Record (C028) report and update contact information. 

  • If you have had an Incident Qualification Card produced from IQCS you can self register for an account to access your record by following the Responder Self Register Guide.  After gaining access to your IQCS responder account, you will be able to access your qualification record and run your own IQCS Master Record Report (C028) as needed. 

    If you are currently a federal employee and been issued a Incident Qualification Card you can contact the individual at your home unit who has IQCS access. They will be able to determine if you are in the application and help get your your report. If you don't know who has the IQCS access, contact your immediate supervisor.

    If you have previously been a federal employee and been issued a Incident Qualification Card then you need to contact the person who has IQCS access at your last federally employed location or your previous immediate supervisor.

    If you have never been a federal employee and never been issued a Incident Qualification Card then an IQCS Master Record cannot be produced from IQCS.

  • Importing an IQS Record into IQCS

    Data from responders who have been tracked by a State’s Incident Qualification System (IQS) can be imported directly into the IQCS application. The IQCS account managers should request the responder's transfer data from the respective State IQS Manager found at the IQS website in the Contact Information menu.

    Exporting an IQCS record for transfer to IQS

    Only IQCS responder records in an inactive or archive status can be exported. Records that are being managed by an agency CAN NOT be exported and thus not available in the export lookup. Once the record is inactive, the IQCS user can export their file from the IQI Import/Export page.

  • If you are trying to integrate a responder's record and have entered all the required information but receive the following IRWIN response message then it means that the record is controlled by IROC and IQCS can not manage (take over) the record until it has been release (SOR set to none) by IROC. 

    • Description: This resource is read-only to all systems except iroc.| Value: iroc| PropertyName: ResourceSOR| Rule:

    To resolve this, you can either submit a help ticket with IROC to have the SOR release or a dispatcher with access to the resource's home dispatch (in IROC DMT) My Local Resources can select the "Release SOR" button to release the record. ONLY after the SOR has been released from IROC can IQCS begin managing the record. 

  • There are two types of IQCS user accounts.

    1. Responder user account - a user account for those that will be access their own record only and will not be managing other responder qualification records. Instructions for self access registration can be found here at the Responder User Account Process.
    2. Standard user account - a user account for those that will accessing and managing other responder's qualification records via the roles of account manager, training officer, certifying official, etc. Instructions for a standard user account can be found below.
  • There are two types of IQCS user accounts. Please see instructions for the access you are seeking. 

    • Responder user account - a user account for those that will be access their own record only and will not be managing other responder qualification records. Instructions for self access registration can be found here at the Responder User Account Process.
    • Standard user account - a user account for those that will accessing and managing other responder qualification records via the roles of account manager, training officer, certifying official, etc. Instructions for a standard user account can be found at Standard User - Account Instructions.
  • There are a few different possibilities on why your roles and/or permissions have changed.

    • You have recently moved to a new location. The IQCS accounts manager at your former location may have requested that your access be removed. Your account is administratively locked and cannot be unlocked without an account request form being submitted. Contact your current supervisor for account authorization.
    • Result of the IQCS Annual Account Review. The review takes place in November/December, so things do change for many people during that time. The local lead IQCS account managers may have requested the change to your roles and permissions. Please consult with them before calling the Help Desk as they are the ones that authorized the change and they will have to be the ones to authorized the change be reversed. It is not at the discretion of the IQCS staff.
    • Your detail has ended and your account has either been reverted back to your old roles/permissions or it has been administratively locked. Contact your current supervisor. If your detail has been extended your supervisor must notify the IQCS Application Steward who can reinstate your access.
    • It may have been an error on the IQCS side due to a change that was made in the application. A Help Ticket will have to be submitted for the Application Steward to look into it. However, please first check with your supervisor to ensure one of the above did not occur.

  • IQCS agency organization requests (new and/or modification) can be requested by following the below process. To review current agency organizations, visit the Agency Organizations page.

    1. Requester completes the Requester Information and Organization Add/Modification Request section of the Request for Organization Add or Modification form. Then submit to your IQCS agency representative, https://iqcsweb.nwcg.gov/iqcs-agency-representatives 
    2. The IQCS agency representative will evaluate and ensure completeness. If approved, they will complete their section and forward the form to the IQCS agency lead, https://iqcsweb.nwcg.gov/contact-us/cmb-reps  
    3. The IQCS agency lead will evaluate, ensure completeness and adherence for their agency organizational structure and IQCS data standards. If approved, they complete their section and forward the form to the IQCS Application Steward for implementation and security modifications. 

    Do not submit the request directly to IQCS staff and/or help desk as it must be authorized by the IQCS agency lead. Any request not submitted by an IQCS agency lead will not be processed.

  • If you have a proposed change request (CR) you can submit an IQCS Help Request or email your request to your IQCS agency representative. We highly recommend working with your agency over submitting a help ticket in order to gain agency support for your CR.

    All CR (application or business) must demonstrate an incident qualification business need and be IQCSCMB vetted and approved. 

  • Established by the National Wildfire Coordinating Group (NWCG), the IQCS application is a management tool to record, track and report on responder qualifications for NWCG Standards for Wildland Fire Position Qualifications, PMS 310-1, and agency-specific standards. The original wildfire agencies collaborated to develop IQCS to support NWCG and their incident qualification standards.

    Organizations not included in the above list may utilize the application Incident Qualification System (IQS) to track responder training and qualifications. This free software program allows the user to track incident qualifications, experience, tasks books and fitness levels for individuals within various organizational levels throughout your agency/organization. IQS also allows the user to analyze the organization's training needs and schedule training based upon the agency needs for incident management personnel.
